PlaySlot — A Product of Cloudnex
Who we are
PlaySlot is a sports venue management platform operated by Cloudnex, a sole proprietorship based in Kerala, India. PlaySlot is a product and trade name of Cloudnex, not a separate legal entity. In this Policy, Cloudnex, we, us and our mean Cloudnex; PlaySlot, Platform and Service mean the PlaySlot website, venue-partner platform and related Phase 1 services.
Scope of this Policy
This Policy covers personal data processed through PlaySlot in Phase 1 about Venue Partners, authorised venue staff, customers whose booking details are entered by a Venue Partner, people contacting us through the website, email, WhatsApp or Slotty, and website visitors where essential technical information is collected. Phase 1 is primarily a venue-partner platform: customers do not currently create PlaySlot accounts.
Our role in processing personal data
Cloudnex operates Venue Partner accounts, subscriptions, support and the Platform. Venue Partners generally provide and control customer booking information; Cloudnex processes it to provide booking functionality, including confirmations, payment links, location links and reminders. Venue Partners are responsible for having the authority, notice and consent required to provide customer information.
Information we collect
We may collect Venue Partner and venue information, including names, contact information, venue details, location, facilities, photographs, bank information for settlements and verification/KYC documents. We may collect staff names, mobile numbers and optional profile photographs. Venue Partners may enter customer names, mobile numbers and optional email addresses for bookings. We receive transaction records needed for payment reconciliation, but Razorpay—not PlaySlot—handles full card numbers, CVVs, UPI PINs and similar payment credentials.
How we use personal data
We use personal data to onboard and administer Venue Partners, manage bookings, slots, staff and customers, send operational communications, process and reconcile payments, make settlements, provide support, maintain security and technical logs, prevent misuse, comply with law, resolve disputes and produce aggregated or de-identified statistics. We do not use customer booking data for unrelated marketing, advertising or profiling in Phase 1.
Legal basis for processing
We process data only for lawful and specified purposes. Depending on the activity, this may include consent or affirmative permission, information voluntarily provided for a requested service, service administration, legal obligations, fraud and security prevention, legal claims, and other lawful grounds under applicable Indian law. Withdrawal of consent can affect features that need that processing.
Customer booking data
Venue Partners generally enter a customer's name, mobile number and, where provided, email address to manage a booking and send relevant confirmations, payment links, Google Maps/location links and reminders. PlaySlot does not use those details for unrelated purposes.
How we share personal data
We do not sell or rent personal data. We may share data as needed with AWS for hosting and storage, Google/Gmail for email and location functions, Meta's WhatsApp Business Platform/API, Razorpay for payments, the relevant Venue Partner, authorised PlaySlot personnel, and authorities or others where legally required or necessary to protect rights, property or safety.
Third-party services
Google may process location information or search queries used with Maps, geocoding, Places and email services. Razorpay processes payment and technical information on its payment pages; PlaySlot does not store full payment credentials. Meta may process service-related WhatsApp message and delivery information. PlaySlot uses AWS EC2 and S3 infrastructure, primarily in the Asia Pacific (Mumbai) region. Each provider's own policies apply.
Location of data and international processing
The primary PlaySlot application and storage infrastructure for Phase 1 is configured in India, including AWS Asia Pacific (Mumbai). Third-party services may process information under their own infrastructure and policies. Where applicable, transfers or processing outside India will be handled in accordance with applicable law.
Data security
We use reasonable technical, organisational and administrative safeguards. Phase 1 measures include OTP authentication, HTTP-only refresh tokens, role-based access, encryption where applicable, encrypted backups, restricted administration, security logs, failed-login monitoring and secure cloud infrastructure. No internet service can guarantee absolute security.
Cookies, local storage and similar technologies
Phase 1 does not use advertising or analytics cookies. It uses essential authentication and operational technologies, including an HTTP-only refreshToken cookie that may remain valid for up to 365 days and browser local storage for the 30-day access JWT and related session information. Razorpay and Google services may use technologies under their own policies. See our Cookie Policy for more information.
Data retention
We retain data only as reasonably necessary for the purpose collected and for operational, legal, accounting, security, dispute-resolution and compliance needs. After Venue Partner account closure, relevant venue and operational data is retained for six months; limited contact and venue information may remain to prevent duplicate records. Security and access logs are retained for at least 180 days, and Phase 1 encrypted backups for approximately one month, subject to lawful exceptions.
Data deletion and account closure
Venue Partners may request account closure at info@theplayslot.com. The retention period described above applies after termination. A deletion request may be subject to legal or operational requirements; retained information will be restricted to the relevant lawful purpose.
Your rights and choices
Subject to applicable law, you may request information about data processed by us, correction, deletion where applicable, withdrawal of consent, grievance handling and other available rights. Contact info@theplayslot.com. We may verify identity before acting. Customer requests concerning information controlled by a Venue Partner may need to be directed to that Venue Partner.
Grievances and privacy contact
Questions, concerns, requests and complaints may be sent to Cloudnex at info@theplayslot.com. We use this business email for privacy and grievance communications and will respond within a reasonable period in accordance with applicable law.
Children's personal data
Phase 1 does not provide customer accounts intended for children or knowingly operate a child-directed service. A Venue Partner may enter booking information relating to someone under 18; the Venue Partner is responsible for ensuring that collection and sharing are lawful and that required parental or guardian consent has been obtained.
Data accuracy
Venue Partners and other users are responsible for providing accurate and reasonably up-to-date information. Where data is used to make a decision affecting an individual or disclosed to another party, we will take reasonable steps to maintain its completeness, accuracy and consistency.
Personal data breaches and cyber incidents
If we become aware of a personal-data breach or cyber incident, we will assess and respond under our internal procedures and applicable Indian law, including required notification to affected people, regulators or authorities.
Changes to this Privacy Policy
We may update this Policy when services, technology, data practices or legal obligations change. Material changes may be notified through the website, email, in-platform notification or another appropriate method. The Last Updated date will be revised.
Applicable law
This Privacy Policy is intended for PlaySlot's Phase 1 operations in India and is interpreted subject to applicable laws of India. Nothing here limits a right or remedy that cannot lawfully be excluded.
